Description

JOB PURPOSE:
Support and administrative services for the Compliance Department and Government Appeals Division. In conjunction with Special Projects Coordinator, Compliance and Government Appeals Division greets and assists guests who have scheduled appointments with the Executive Vice President and/or other Vice-Presidents or Directors in the suite. Maintains a professional and friendly atmosphere. Maintains department inventory and ordering of office supplies. Phone support for incoming calls and helps maintain calendars for Executive Vice President and Executive Directors. Maintains invoice processing and assists with budgeting for departments and division. Provides substantial clerical and administrative support to Project Coordinator, including daily data entry and reporting functions for Project Analysts. Assists in maintaining COI software and other applications for the departments. Performs other duties as requested.

KEY RESPONSIBILITIES:
1. Prepare check requests and code invoices for processing with Accounts Payable.
2. Assist Director of Information Security and Compliance with budgeting process.
3. Data entry for Government Appeals process.
4. Clerical revisions, preparation and overnight mailing of final appeals and exhibits for various levels of Medicare appeals, as directed, for Government Appeals Division under oversight of Director, Legal Advisor, Government Appeals, Project Coordinator and Project Analysts.
5. Maintain departmental files, physical and electronic, for reports, correspondence and appeals, as requested.
6. Serve as a receptionist for Compliance Department along with Project Coordinator.
7. Provide administrative support to the Departments to include scheduling meetings, miscellaneous administrative operational duties, special projects, and technical support liaison as requested.
8. Order office supplies and maintain workrooms in orderly fashion; prepare purchase orders; serve as vendor contact person when problems arise.

Requirements

MINIMUM EDUCATION REQUIRED:
High school or GED equivalent.
MINIMUM EXPERIENCE REQUIRED:
Minimum five (5) years of previous clerical or administrative experience.
MINIMUM LICENSURE/CERTIFICATION REQUIRED BY LAW:
None.
ADDITIONAL QUALIFICATIONS:
Associate Degree preferred. Must be proactive, detail-oriented and able to work independently. Must be attentive to deadlines and tenacious in follow-through and follow-up for assigned projects. Must possess a pleasant and friendly personality and consistently communicate in an effective and professional manner. At all times, must maintain confidentiality of private information in the areas of COI, Compliance Hotline (if handling callers with reports), and Patient Medical Records associated with Medicare Appeals.
