Shift/Schedule: Full-time
JOB PURPOSE: Coordinates all procedures for department. Individual is a resource to the scheduling department, PASU, Patient Access, staff, and/or referring physician offices when questions arise about unit services. Educate patients, community, and referral sources regarding unit.
MINIMUM EDUCATION REQUIRED:
High School Graduate or GED equivalent required.
MINIMUM EXPERIENCE REQUIRED:
2 years of experience in healthcare or customer service industry required.
MINIMUM LICENSURE/CERTIFICATION REQUIRED BY LAW:
ADDITIONAL QUALIFICATIONS:
Previous Epic experience preferred. BLS certification preferred.
KEY RESPONSIBILITIES:
1. Optimizes daily all therapy and/or treatment schedules by being the central point of contact for the unit.
2. Facilitates communications between referring physicians, clinicians, central scheduling, PASU, and Patient Access.
3. Operates and utilizes the EPIC scheduling program to ensure efficient use of schedule.
4. Optimizes the clinicians’ schedules and enhance productivity standards through the scheduling of patient follow-up appointments for patients.
5. Proactively identifies open timeslots and contacts patients, central scheduling/PASU, and referral sources to backfill slots.
6. Supports PAS staff as needed with tasks that include but not limited to giving reminder calls, checking in patients upon arrival, registering patients, etc.
7. Build relationships with referring physician offices to become central point of contact for immediate appointment availability.
8. Central contact for clinical requests for clinicians and referring physicians for reports and unique protocols related to patient care, and follow-up appointments pertaining to unit.
9. Provides clerical support for department, including but not limited to, faxing, filing, ordering of supplies, communication support for unit.
a. Assists with distributing appropriate communication via written, verbal and/or electronic means to unit team members.
b. Retrieves and distributes departmental mail appropriately.
c. Copy, fax, file and route correspondence to appropriate individuals.
d. Order office supplies through the hospital ordering system.
10. Tracks and maintains Medicare plan of care signatures and scan into EPIC in a timely manner.
11. Recommends new approaches for enhancing performance and reaching productivity standards for unit team through a daily focus on the patient schedule.
12. Maintains records for equipment/temperature logs to ensure accrediting organization compliance.
13. Assists as needed with maintain records for equipment/ temperature logs to ensure accrediting organization compliance.
14. Coordinates and schedules in-services with appropriate vendors and department.
15. Reserves and arranges meeting space areas when needed.
16. Maintains a neat and clean desk/reception area(s).

• Possess knowledge of the Epic scheduling module, PASU module, medical records, and EPIC template build for optimal scheduling.
• Possess clear understanding of the impact scheduling services have on Revenue Cycle operations and financial performance.
• Ability to use PC based office tools (e.g. Microsoft Outlook, Microsoft Excel and Word).
